Real Estate Customer Follow-Up Automation: Ready-Made Message Sequences for UAE Agents
12 Oct 2026 · @Aexon
One follow-up message is a nudge. Three well-timed ones are a conversation.
Most agents know this. What gets in the way is the doing. Remembering who needs a message today, writing it, sending it, and then doing the same for forty other leads.
That's where real estate customer follow up automation earns its place. You write the messages once, decide the timing, and the system sends the right one at the right moment, then stops the second the customer replies.
Below are five ready-made follow-up sequences for common lead types in the UAE, with timing, sample messages and the rules that keep automation feeling human.
How a Follow-Up Sequence Works
A sequence is a short run of messages that go out on a schedule, tied to what the lead has done.
A lead enters the sequence when something happens, like a new enquiry or a viewing. Each message goes out after a set delay. If the customer replies at any point, the sequence stops and a person takes over. If the lead books a viewing, it moves to the next sequence.
That's the whole idea. Each message below is a starting point. Change the wording to match your voice, and the names, places and times to match your listings.
Sequence 1: The New Buyer Enquiry
Who it's for: Someone who just enquired about a property to buy.
Straight away
Hi Aditya, thanks for your enquiry about the 2-bedroom apartment in Dubai Marina. This is Arjun from Skyline Properties. Are you looking to buy for yourself or as an investment?
After 1 day, if no reply
Hi Aditya, just following up on your enquiry. If you share your budget and preferred area, I can send a few options that fit.
After 3 days, if no reply
Hi Aditya, I'll keep an eye out for properties that match what you're looking for. Reply anytime if you'd like to see some.
Sequence 2: The Renter
Who it's for: Someone looking to rent, often with a tighter timeline.
Straight away
Hi Pooja, thanks for your enquiry about the 1-bedroom apartment in JVC. When would you like to move in, and what's your yearly budget?
After 1 day, if no reply
Hi Pooja, a quick follow-up on the JVC apartment. A couple of viewing slots are open this week. Want me to book one for you?
After 3 days, if no reply
Hi Pooja, a similar 1-bedroom just came up nearby. Shall I send the photos and details?
Sequence 3: The Investor or Off-Plan Lead
Who it's for: Someone asking about returns, payment plans or new launches.
Straight away
Hi Manish, thanks for your interest in Palm Crest Residences. Are you looking at it for rental income or long-term growth? I'll send the right details.
After 2 days, if no reply
Hi Manish, the brochure and floor plans for Palm Crest Residences are ready. Would you like me to send them here?
After 5 days, if no reply
Hi Manish, we have a short walkthrough of the project available this week. Happy to share the details if you'd like to join.
Sequence 4: Reviving a Cold Lead
Who it's for: Someone who enquired a few months ago and went quiet.
First message
Hi Sandeep, it's been a while since we spoke about apartments in Business Bay. Are you still looking?
After 4 days, if no reply
Hi Sandeep, a few new listings came up in Business Bay that might suit you. Want me to send them across?
After 10 days, if no reply
Hi Sandeep, I'll pause my messages for now so I don't fill your inbox. Whenever you're ready, just reply and we'll pick up from here.
Sequence 5: After the Viewing
Who it's for: Someone who has visited a property.
Same day
Hi Kavita, thanks for visiting the Dubai Hills apartment today. What did you think?
After 2 days, if no reply
Hi Kavita, any questions about the apartment I can help with? I'm happy to share the payment details or arrange a second visit.
After 5 days, if no reply
Hi Kavita, if you'd like to compare with a couple of other options, I can arrange viewings of similar apartments this week.
Stop Rules: When Automation Should Step Aside
Automation works best when it knows when to stop. Set these rules for every sequence.
If this happens | The system should |
|---|---|
The customer replies | Stop the sequence and hand the chat to an agent |
The customer books a viewing | Move them to the viewing and reminder flow |
The customer says stop | Stop all messages and mark them as opted out |
The agent sends a message | Pause the sequence for that lead |
The lead is marked as closed | End the sequence |
The sequence finishes with no reply | Tag the lead for later re-engagement |
These rules are what keep automated follow-up from feeling robotic.
Timing, Approval and Permission
Timing. The delays above are starting points. Hot leads like new enquiries and post-viewing contacts can move faster. Cold leads need more space. Watch how your buyers respond and adjust.
Approval. Follow-up messages sent outside a live conversation go out as templates approved by Meta. Your provider usually submits them, and approval isn't guaranteed, so keep the wording clear and relevant.
Permission. Only message people who've enquired or agreed to hear from you, and always make it easy to opt out.
Charges and rules. Meta charges for some message types, and policies can change. Check the current details with your provider.
Mistakes That Make Automation Feel Robotic
A few habits turn useful follow-up into noise.
Sending the same sequence to every lead, whatever they asked about. Packing too many messages into too few days. Ignoring a reply and sending the next scheduled message anyway. Using long, formal blocks of text when a short line would do. Pushing for a viewing before you know the buyer's budget.
If the customer has replied, the next scheduled message should never go out.
Where Aexon Fits
Aexon helps UAE real estate teams turn these sequences into real, working automation.
As an Official Meta Tech Partner, the team helps with onboarding, templates and approvals. You build sequences for each lead type, set the timing and stop rules, and let the system do the sending. Every conversation sits in a shared team inbox linked to the lead record, so when a customer replies, an agent picks it up straight away with the full history.
Follow Up Without Chasing
Good follow-up is simple: the right message, at the right moment, to the right person, and silence once they reply. Start with one sequence, test it for a few weeks and add more.
To see how Aexon can run this for your agency, contact Aexon Systems at business@aexon.app or on WhatsApp at +91 81601 08049.
It's a setup where follow-up messages are sent automatically on a schedule based on what the lead has done, and stop when the customer replies.
Three well-timed messages per sequence is a common starting point. Adjust to your buyers and watch for opt-outs.
Not if the messages are short, use the customer's name and the property they asked about, and stop the moment they reply.
Messages sent outside a live conversation use templates approved by Meta. Your provider usually submits them for you.
Yes. Buyers, renters, investors and cold leads each suit their own sequence, triggered by their stage or behavior.
